These terms explain how clinics may use our growth, booking, WhatsApp follow-up, review, reporting, and automation services.

Agreement

By using ClinicFlow OS, requesting a practice audit, booking a consultation, approving a proposal, or continuing to use our services, you agree to these Terms of Service. If you are accepting these terms for a clinic, company, or organization, you confirm that you have authority to do so.

Our Services

ClinicFlow OS may provide strategy, campaign setup, landing pages, forms, WhatsApp workflows, booking flows, reminders, review collection, reporting dashboards, follow-up automation, and related support. Specific deliverables, timelines, fees, and responsibilities may be described in a proposal, statement of work, invoice, or written agreement.

Clinic Responsibilities

  • Provide accurate clinic, service, pricing, availability, contact, and compliance information.
  • Respond to leads and appointment requests within a reasonable time.
  • Use patient and lead information only in lawful, ethical, and authorized ways.
  • Make sure marketing claims, medical claims, offers, and patient communication are accurate and approved by the clinic.
  • Maintain access to connected accounts, phone numbers, calendars, and third-party tools needed to operate the service.

Patient And Lead Communications

ClinicFlow OS helps clinics communicate with people who submit inquiries, request appointments, respond to campaigns, or interact with clinic workflows. Clinics are responsible for ensuring they have appropriate consent and lawful basis to contact leads or patients through calls, SMS, WhatsApp, email, or other channels.

Fees And Payments

Fees, billing schedules, setup costs, retainers, platform costs, advertising budgets, and payment terms are set out in the applicable proposal or invoice. Unless otherwise agreed in writing, fees are due as stated on the invoice and may be non-refundable once work has started or access has been provided.

Acceptable Use

You may not use ClinicFlow OS to send unlawful spam, mislead patients, make false medical claims, interfere with systems, upload malicious code, misuse third-party platforms, violate privacy rights, or use the service in a way that could harm ClinicFlow OS, clinics, patients, or service providers.

Third-Party Tools

Our services may connect with tools such as WhatsApp, CRM systems, calendars, analytics platforms, ad platforms, payment tools, hosting providers, and email services. Those tools are governed by their own terms and policies. We are not responsible for outages, changes, restrictions, or actions taken by third-party platforms.

No Medical Advice

ClinicFlow OS is a marketing, communication, booking, and automation service. We do not provide medical advice, diagnosis, treatment, clinical judgment, or emergency services. Clinics remain responsible for all patient care decisions and professional obligations.

Disclaimers And Liability

We work to provide reliable services, but we do not guarantee specific patient volume, revenue, rankings, platform approval, ad performance, or uninterrupted availability. To the fullest extent permitted by law, ClinicFlow OS is not liable for indirect, incidental, special, consequential, or lost-profit damages.
