Data Minimization

We aim to collect and process only the information needed to run campaigns, manage inquiries, book appointments, send follow-ups, generate reports, and support clinic growth operations. Sensitive medical details should not be added to marketing workflows unless the clinic has a clear, lawful reason to do so.

Platform And Provider Security

ClinicFlow OS may rely on reputable third-party providers for hosting, CRM, WhatsApp messaging, analytics, advertising, payment, calendar, and support operations. We choose providers based on reliability, security posture, and fit for the workflow being delivered.

Transmission And Storage

Where supported by the platform, information is protected in transit using secure connections and stored within managed systems that provide account controls, logging, backup, and availability safeguards. We avoid unnecessary exports and local copies of clinic or lead information.

Monitoring And Incident Response

We monitor key operational issues such as workflow failures, unusual account behavior, broken integrations, and provider outages. If we identify a security incident affecting clinic data, we work to contain it, understand its impact, restore normal operation, and notify affected parties when appropriate.

Clinic Security Responsibilities

Security is shared. Clinics should keep staff access current, avoid sharing passwords, protect devices, review connected accounts, approve communication templates, and immediately tell us if a phone number, CRM account, calendar, or ad account may have been compromised.
